Autopilot says Gmail failed with "insufficient authentication scopes" (there are no Gmail scopes in this app)

An Autopilot report or a scheduled task tells you Gmail failed, often several runs in a row, and says something like insufficient authentication scopes or tells you to go and fix the Gmail permissions. Start here: there are no Gmail scopes anywhere in Booked Solid. There is no screen with scopes on it and nothing for you to fix. Otto found no Gmail tool in that run, had nothing on record explaining why, and reached for words that sounded right. The real cause is below, and the fix is one tap.

There are two Gmails, and only one survives a run you are not watching

This is the whole thing.

  • Gmail linked on your Claude account works while you are sitting in a live chat with Otto. It goes dark the moment Otto works a shift on its own. Autopilot, a scheduled task, or a play running by itself then finds no email tool at all.
  • The direct connection is your inbox saved inside Booked Solid with a Google app password. It works everywhere, background runs included, with nothing to approve.

So a card that reads green and says the connection is working can be telling the truth and still be the wrong connection for this problem. If your unattended runs keep missing Gmail, you need the direct one.

The Connections screen, where saved inboxes live under Mail and calendars and the switches live under Tool access

Set up the connection that keeps working

  1. Open Connections and find Mail & calendars.
  2. Tap the Gmail button there and save your address with a Google app password. That is not your normal Google password.
  3. On the same tab, under Tool access, switch Gmail (app password) on.
  4. Start a fresh chat. Connections are wired when a conversation begins, so the one already open will not pick it up.

The half-done state that catches almost everyone

Saving the inbox and handing it to Otto are two separate steps, and doing the first does not do the second. When the inbox is saved but the Gmail (app password) switch is still off, the direct Gmail tools are never registered and the session has no Gmail at all. Saving the inbox again does not flip that switch.

The app says so on the row itself: your inbox under Mail & calendars carries an amber line reading Not handed to Otto yet, with a Turn on for Otto button beside it. One tap, then a fresh chat.

Nobody is sitting there to tap it during an unattended run, which is exactly why this shows up as a string of failed Autopilot passes rather than as one error you see and deal with.

If it does not work

  • Do not go to the claude.ai Gmail approval page for this. That page belongs to the linked-account path and cannot switch anything on for the direct one.
  • If there is no inbox row at all under Mail & calendars, there is nothing to turn on yet. Add the inbox first.
  • Update the app. Otto now names the real blocker instead of inventing a cause, so a current version tells you which of these states you are in.
Prefer a fully managed experience? Booked Solid OS runs on your computer and you stay hands-on. If you would rather have this handled for you on a hosted platform (lead finding, follow-ups, email sending, invoicing, all managed in one place), take a look at KM Hub from the same team.
