Booked Solid works quietly in the background, and it uses your computer's own notifications to pull you back only when something actually needs you. Here is what each ping means and what is running behind the scenes while the app is open.
The three notifications you will see
- "Your job is done": a job you started has finished cleanly. Nothing is required - open the app when you are ready and review the result.
- "Your job needs a look": a job finished, but the outcome deserves your eyes before you rely on it. Open Activity to see what happened.
- "A decision needs you": Otto parked a decision for you - typically a send or an approval waiting as a gate card. Open Activity > Board, where anything that needs you always sits on top, and approve, edit, or hold it.
These arrive as normal system notifications on Windows and macOS, so you will see them even when the app window is behind your other work.
What runs in the background while the app is open
A few standing helpers work on their own, without you pressing anything:
- Watch-folder ingestion: files you drop into a watched folder are copied into your Booking HQ inbox. The original file never moves.
- Scheduled tasks runner: runs your daily scheduled tasks at the times you set. If your computer was asleep at a scheduled time, it runs the missed times after wake instead of silently skipping them.
- EPIN weekly send (Otto tier): if you have joined EPIN, the weekly postcard sends automatically, with receipts saved for you to read.
- Booth Telegram poller (Otto tier): if the Booth is set up, parked decisions are pushed to your phone as Approve/Reject cards, and your taps apply back in the app.
All of these run only while the app is open - Booked Solid does not act on your behalf when it is closed.
One rule that never bends
Everything that runs on its own follows the exact same autonomy level and house rules as work you start by hand. Your floor rate, your never-contact list, and your chosen involvement level (Show me, Check with me, or Run for me) apply to scheduled tasks and background runs just as they do to a job you launch yourself. Standing work never gets a looser leash than you gave it.
If you are getting too many or too few pings
- Notifications follow your operating system's notification settings for the Booked Solid app - check Windows or macOS notification preferences if pings are not appearing.
- Fewer decision pings usually means adjusting how much runs on its own: revisit your scheduled tasks in Settings > General and your autonomy level.
