Change the email address on your account (and the different way you swap a connected inbox)

You went looking for the setting and it is not there: I am wanting to change my email address to be used for the Booked Solid app. I can not find the way to change it as the help page suggested. You are not missing a button. There are two completely different email addresses inside Booked Solid, and only one of them has a control you can click.

First, work out which of the two you mean

This is the fork in the road, and picking the wrong branch is what costs people an afternoon.

  • Your account email is the address you typed at activation, next to your license key. It is bound to your username. It is where your 6-digit password reset codes go. It has nothing to do with the mail Otto reads. There is no field for it anywhere in the app, and the help desk changes it for you.
  • A connected inbox is a mailbox you handed to the app so Otto can read it and draft from it. These live on the Connections tab under Mail & calendars. You add, change and remove these yourself, as many as you want.

Not sure which one you are after? If the goal is that Otto reads and replies from a different address, you want a connected inbox, and you can do it yourself in about a minute. If the goal is that a password reset code actually reaches you, you want the account email, and you need us. Changing one does not change the other.

Almost everyone opens Settings first. It is a dead end.

The Set up your account screen asks for your email once, at activation, and binds it to your username. After that the app has no field for editing the account email: not in Settings, not on a profile card, not on the sign-in screen. That is by design, not a missing button. Skip the hunt.

Change the account email (the one reset codes go to)

The account email is what proves an account is yours, because it is where a reset code would land. Moving it is a licensing change on our server, not a setting you flip. So we have to confirm the account is yours before we touch it. Everything below exists so that happens in one message instead of three.

Write to us and include all of this:

  1. The username you sign in with, or your license key, the one shaped like BS-XXXXX-XXXXX-XXXXX. Either one on its own is enough.
  2. The new email you want on file.
  3. One line telling us you are writing in from a different address, if you are. See below.

Writing in from a different address than the one on your account

This happens constantly and it is completely normal. Usually it is some version of I bought under a different email, or you write to support from your business address, or the old inbox is the entire reason you are here in the first place. Say so in your first message.

Here is why it matters, and it is not us being difficult. When a ticket arrives from an address we cannot match to a license, we have no way to tell whether the account is yours, and we will not move a licensing record on a guess. If your first message has no username and no key in it, the only thing we can do is write back and ask, which costs you a day of waiting. One extra line up front skips that round trip entirely.

If you do not know your username or your license key

  1. Open booked.kivimedia.co/green-room.
  2. Enter the email you bought with.
  3. Choose email me my license key.

The key goes straight to that inbox, together with the username on your account if you have set one. It is never shown on screen, and it is only ever sent to the address on the license, which is deliberate: nobody can fish your key out using somebody else's email.

That last part is also the honest limit of this route. If the inbox on your license is closed, or you simply cannot get into it any more, the Green Room cannot help you and there is no way around that on your own. Write to the help desk instead, say plainly that the old inbox is unreachable, and send whatever you do have: your purchase receipt, the name on the order, roughly when you bought. A person picks those up and works through them by hand.

Swap the inbox Otto works with (this one you do yourself)

Everything in this section happens on the Connections tab, in the Mail & calendars section, under Email accounts. Each inbox you have connected sits on its own row, with four controls beside it: Turn off, Edit, Check it and Remove.

Decide one thing before you start. Booked Solid holds several inboxes at once, each tagged with what it is for, so replacing is not always what you want. If the new address is an addition rather than a swap, do not remove anything: add the new one and leave the old one where it is.

Change the address on an inbox you already connected

  1. Open the Connections tab and scroll to Mail & calendars > Email accounts.
  2. Find the account and click Edit. The same form you filled in originally opens, pre-filled, headed Edit followed by that account's name.
  3. Change the Email address field to the new address.
  4. If the new address is just another name for the mailbox you already connected, an alias on the same account, leave the password field alone. Blank means keep the password already saved, and the saved one keeps working.
  5. If it is a genuinely different mailbox, paste a fresh app password issued by that mailbox. An app password only ever opens the account it was made on, so the saved one will not sign you in there, even at the same provider. If the new mailbox is somewhere else entirely, change the Mail server field to match as well.
  6. Click Save, then Check it on that row to confirm it really connects.

One small thing that saves a confusing five minutes: Google shows app passwords as four groups of four with spaces between them. Paste it exactly as Google displays it. The app strips the spaces for you.

If your build has no Edit button

In-place editing of a connected account arrived in version 1.11.5. On anything older there is genuinely no way to edit one, and support was right to tell people so at the time. On those builds you swap the account rather than edit it, and that remove-then-add is the change:

  1. On the Connections tab, under Mail & calendars > Email accounts, find the old address and click Remove.
  2. Click Add an email account.
  3. Give it a name you will recognize, like Bookings inbox.
  4. Set what it is for: bookings, personal, support or business. That tag is how the app knows which inbox does what.
  5. Pick the method. The form starts on Any email (IMAP), which is the right answer for almost everyone, Gmail included.
  6. Enter the new email address. On IMAP, also fill in the mail server and an app password.
  7. Click Save, then Check it.

If you are on an older build, updating the app is worth doing regardless, and it puts the Edit button on every account row from then on.

Connecting a Gmail address? Gmail will not accept your normal password over IMAP. It needs a Google App Password, and the full walk-through is in Connect your Gmail with an app password (step by step). What changing the account email does not touch

  • Your username does not change, and you still sign in with the username, never with the email.
  • Your license stays activated. You do not re-enter your key anywhere, on any computer.
  • Your connected inboxes are untouched. Otto keeps reading exactly what it read before.
  • Your leads, your work and your history are untouched.

It runs the other way too: swapping a connected inbox does not move your account email, so reset codes still go to whichever address is on your account until we change it for you.

Do this before you need it, not after

A wrong email on my account is a harmless annoyance right up until the day you cannot sign in. Get it fixed now rather than on the day you are locked out. The reset code goes to the address on your account and nowhere else. Forget your password while that inbox is closed, and the code has nowhere to land, which turns a one-minute reset into a slow manual recovery with us.

If it still is not sorted

Email bookedsolid@kivimedia.freshdesk.com or submit a ticket from this help center. To get a straight answer in the first reply rather than the third, tell us which of the two emails you mean, the username or BS- license key on the account, the new address you want on file, and what you have already tried. If it is a connected inbox that will not take, paste the exact wording the Check it button gave you. That message is usually enough on its own to tell us what is wrong.
