Every lead says "0 of 6 facts" - even gigs I have already booked and been paid for

Every lead card in Gig Desk shows "0 of 6 facts", even leads with complete information. You open one of those leads and it is all right there: event type, date, venue, contact, budget all filled in. Some of them are not even open inquiries any more, they are gigs you are fully booked with events already paid for and debriefed, and the card still reads 0 of 6 facts. Read plainly, that says "the app can't see my data", which is a completely fair conclusion to draw from that wording. It is not what is happening. Your lead data is intact, and that counter is measuring something else entirely.

This article explains what it counts, how to get past the prompt it puts in front of the Booked column, and how to make the number reflect reality if you want it to.

What the counter is not

It is not a completeness score for the lead. It is not checking whether the gig has an event type, a date, a venue, a contact, a budget or a decision timeline. None of those fields feed it. A gig can be filled in down to the last field, sitting in Booked, half paid and already performed, and the counter will still read zero.

So before anything else: nothing has been dropped. The lead, its notes, its history and its log are all still on the record, and none of it needs re-entering because of this number.

What it actually counts: six booking milestones

The counter is a proof-of-booking meter. It counts how many of six booking milestones have been recorded on that gig inside Gig Desk itself. The six are:

• Proposal sent
• Proposal viewed
• Offer accepted
• Agreement signed
• Retainer observed, which is the retainer being paid
• Date reserved

Each one is a date, not a description. They live in the Booking evidence section of a gig's editor, and they only get recorded when someone puts a date on them. That is the whole mechanism. The pill is answering "how much proof do I hold that this gig is really booked", not "how much do I know about this gig".

There is a seventh date field in that same section, Show completed, and it is worth knowing that it does not count toward the six. Filling it in will not move the number.

Why it sits at zero on almost every gig

On the version this was first reported against, 1.8.3, those six milestone lines could only ever be written by you, by hand, in a gig's editor. Otto worked your leads in his own notes and log, and had never been taught the one line format that records a milestone, so nothing he wrote ever reached that counter. So the count stayed at zero on essentially every lead Otto had touched or that arrived by import, including gigs that were fully booked and part paid.

That is the same root cause behind booked gigs sitting in New Inquiries with blank cards. Two honest limits on what that fix does for this particular number. Otto now keeps a gig's stage and card fields current as he works, and he is instructed to record a milestone when that milestone verifiably happens, so the count fills in on new work as it goes. On an older gig, the only milestone he will ever write is one the gig's own record already dates, such as a log line saying the retainer arrived on a particular day. Nothing works backwards from the fact that a gig booked and decides a proposal must have gone out in March. A milestone is only ever recorded when there is something real behind it, which is the point of the meter, so a gig whose history was never written down anywhere will keep reading zero until you enter the dates yourself.

The prompt you hit when you drag a card into Booked

The same counter drives a gate on the Booked column, and this is where the wording costs people the most time. Drag a card into Booked on a gig with no milestones recorded and the app stops and asks Book this gig?, telling you that no booking milestones are recorded yet and naming the count. On older builds that prompt read "No booking facts are recorded yet ... 0 of 6 tracked facts", which is exactly why it looked like a refusal.

It is not a refusal. Choosing Book anyway moves the card. The move sticks, the gig sorts as booked from then on, and nothing about it is provisional. That is the single most useful sentence in this article.

The prompt gives you three choices:

• Book anyway - moves the card to Booked now, milestones or no milestones.
• Add milestones first - opens that gig's editor so you can record what actually happened, then drag it again.
• Cancel - leaves the card where it was.

The gate only ever appears on a drop into Booked, and only when the count is zero. Record even one of the six and you will never see it again on that gig. Recording only Show completed will not silence it, because that field is not one of the six.

How to make the count reflect reality

This is optional. Say that out loud before you spend an evening on it, because the number feeds three places and nothing else: the chip on the board card, the Booking evidence line when you expand a gig in List view, and the Booked drag prompt above. No money figure, no dashboard total, no report and no decision Otto makes depends on it. If a zero on a gig you know is booked does not bother you, you can leave it.

If you do want it accurate on a gig:

1. Open Gig Desk and click the gig's card, which opens Edit gig details.
2. Expand the Booking evidence section. It is collapsed until you click it, which is one reason almost nobody has found it.
3. Put the real date on each milestone that genuinely happened, and leave the rest empty. A date you type is labelled Owner confirmed, which is the app being precise that you are the source rather than a connector receipt.
4. Click Save changes.

The card updates immediately. A gig with three of the six recorded reads 3 of 6 milestones instead of the zero-state text.

If you have a pile of gigs rather than one, run the Gig Desk True-Up play from the Plays tab first. Its stated job is the stage, date, venue, contact and money rather than this counter, but it fills each gig's record from what that gig's own files already say, and it works under the same honesty rule: a milestone gets written only where the record itself shows it happened. So a gig whose log actually dates the proposal or the retainer can come back with milestones on it, and a gig whose log never said either will not. Treat it as a bonus on top of the columns and cards it is really there to fix, not as the plan for this number.

Things that will not move this number

Each of these has cost a performer real time, so skip them.

• Filling in more card fields. Almost everyone tries this first, and it is a dead end. Typing the event type, the venue, the buyer, the fee and the date and saving will fix a blank card, and it will not shift the counter by one, because those fields are not what it counts.
• Re-importing the lead, or deleting it and recreating it. The milestone dates were never in your CRM, your spreadsheet or your inbox in a form the app reads, so no fresh import produces them. Deleting throws away real history and hands you back the same zero.
• Waiting for Otto to work out that an old gig must have been booked. He will not, by design. He records a milestone only where something real sits behind it, so a gig whose own files never wrote down when the proposal went out or when the retainer landed stays at zero no matter how many passes run over it.

The wording changed, so check which version you are on

The word "facts" was the problem, and it is gone, in two steps. Version 1.8.4 took it off the Gig Desk entirely: the chip started reading 0 of 6 milestones, and the Booked prompt started naming what it means by them, a proposal sent or accepted, a signature, a retainer, a reserved date. Version 1.11.12 then took the bare zero out of sight as well, so a gig with nothing recorded now reads booking proof: none yet and only a gig that has something recorded shows a count, as 3 of 6 milestones and so on.

That makes the wording a rough version check. If a card on your Gig Desk still says 0 of 6 facts, you are on a build older than 1.8.4, which is a long way back. If it says 0 of 6 milestones, you are somewhere between 1.8.4 and 1.11.11. Either way, click Check for updates at the top of the app and take the update. You will also want to be on 1.11.13 or later for the fix to the blank cards and the wrong columns, which is the issue most people are actually chasing when they land here.

If your desk still does not look right

Once you are updated, look at the board again with fresh eyes, because a lot of what looked broken tends to resolve into "this gig has no proof recorded and that is true". If a specific gig still reads wrong after that, that one is worth reporting. Open a ticket from this help center and name the gig.
