The Dashboard: money in play, pipeline, and relationships (and where the Money in Motion numbers come from)

The Dashboard is your at-a-glance picture of the whole booking business: the money currently in play, your pipeline, and every relationship that matters. It reads live from your Booking HQ folder, it is strictly read-only, and it never sends anything. Most days it is quiet and obvious. The one thing that sends people to this article is a money line that makes no sense: "The Money in Motion section on my dashboard is showing broken data", "One line reads Mileage - $1", "The account is the proof point - $400". If that is why you are here, go straight to When a Money in Motion row is not real income below. Short version: it is a known bug, it was fixed in version 1.8.4, and your actual data was never wrong.

Opening the Dashboard

  1. Look at the right pane, where the Today, Gig Desk, Calendar, Tasks, Inbox, Plays, and Settings tabs live.
  2. Open the More menu at the end of that tab row.
  3. Choose Dashboard.

What you'll see

  • What's new in this update - after the app updates, a card summarizes what changed, with the version number it is describing next to the heading. Click Dismiss when you've read it.
  • Open pipeline - the one big number at the top. The label sitting above the number is the actual name of the figure, and it normally carries your currency code after it, like Open pipeline (USD). It is money in play, not money booked.
  • The aim bar - a line that reads "Otto thinks your aim is X. Right?" (more on this below).
  • Stat cards - four quick counts: Leads, Pipeline stages, Queue items, and Brain files.
  • Money in motion - a short list of money rows underneath the stat cards. These are labeled figures read out of your own money notes, not one row per deal. See the next section, because this is the part people ask about most.
  • Reminders + tasks - what's coming up and what's in flight.
  • Pipeline - how many relationships sit at each stage.
  • Relationships - your twelve most recently touched relationships, one per row, with lost ones left out. Click any row to open its detail modal.
  • Recommended for you cards - suggested next moves you can act on with one click.

Where the money numbers come from

Worth knowing before anything looks wrong, because it answers the question people ask us most about this screen: where is this number coming from.

  • The big Open pipeline number is added up from the budget on your active leads. Leads that are booked, lost, or still at prospecting are deliberately left out, because none of those are money in play right now. A lead with no fee recorded on it adds nothing to the total, so a figure that looks low is usually missing budgets rather than missing leads. Nothing types this number in by hand and nothing estimates it.
  • The Money in motion rows are labeled figures the app finds in your money notes. It reads three files: brain/money.md, which the app writes for you from your outcome ledger (booked revenue, average booking, by market), and a revenue.md or numbers.md at the top level of your Booking HQ folder if you keep one.
  • Only lines shaped like Label: $amount are picked up, and only when there is a real currency amount on the line. Every supported world currency counts, not only dollars.
  • If you price in more than one currency, each currency gets its own Open pipeline line. The first one becomes the big number and the others appear in the Money in motion list.
  • The Dashboard shows at most six money lines in total, the big number included. If you keep a long list of labeled figures, the rest are not missing, they are past the cut.
  • If you have no money notes yet and work in one currency, there is no Money in motion list at all. That is normal, not a fault.

When a Money in Motion row is not real income

People usually report this as "my dashboard is showing a weird number", and then describe a row that reads like a sentence rather than a deal. The two real examples we were sent were a line reading "Mileage - $1" and another reading "The account is the proof point - $400". The customer's read on it was exactly right: the second one "looks like a leftover placeholder string that shouldn't be user-facing", and "neither number appears to reflect anything real".

That is a real bug in the app, not a problem with your data. It was reported on version 1.8.3 and fixed in version 1.8.4.

What was actually happening

Money in motion was meant to show only real money: your open pipeline plus figures from your own revenue and numbers notes. But it was also scanning brain/wins.md, your wins and proof notes file. That file is narrative. It holds testimonials, proof points, and the lines the app quotes back to clients inside proposals. Any sentence sitting in there that happened to have the shape some phrase: $amount got scooped up and rendered as though it were an income line.

  • "The account is the proof point: $400" is a proof or testimonial sentence. It was never income.
  • "Mileage: $1" is a note about how you bill mileage. It was never a mileage roll-up, which is why $1 looked absurd next to a real pipeline.

What was not affected

This is the part to read before you go looking for damage, because there is none to find.

  • The underlying data was never wrong. The Open pipeline figure at the top was correct the whole time and pulled from the right place. In the reported case the customer wrote that "my open pipeline shows $9,925 across 66 leads", and that figure was right.
  • Nothing needed repairing in Booking HQ. No lead, no note, and no file was corrupted by this.
  • Nothing went out to anyone. The Dashboard is read-only and never sends, so a wrong row on screen could not reach a client.
  • Your stat cards, pipeline counts, and relationship rows were unaffected.

Two dead ends, so you do not burn an hour on them

Almost everyone tries one of these first, and neither one can work. Skip both.

  • Hunting through Booking HQ for a corrupted lead. There isn't one. The stray rows never came from a lead, so no amount of opening leads and checking budgets will turn anything up.
  • Editing or deleting the offending sentence in your wins and proof notes. It would clear the row, and it would also quietly damage a file the app uses to build your proposals. You would be gutting real content to hide a display bug that is already fixed. Leave that file alone.

The fix, and how to get it

Money in motion now reads only your booked totals and your own revenue or numbers notes, never the proof file, so nothing stray can land there again. That shipped in version 1.8.4 on 19 July 2026, and the app has released many times since.

  1. Check what you are running. Open the Settings tab and find the Updates card, which reads "You're running Booked Solid" followed by your version number.
  2. If it is older than 1.8.4, click Check for updates in the top bar. The app auto-updates on launch, so in most cases the newer build has already downloaded and is waiting on a restart.
  3. When the update window says the update is ready, click Restart & install. The app closes, installs, and reopens in a few seconds. Your leads, files, and settings are untouched.   4. If the update will not install for any reason, download the current build directly from booked.kivimedia.co/download, or on a Mac from booked.kivimedia.co/download/mac.

Once you are on 1.8.4 or newer, those rows are gone and the box shows only real money.

Telling a good row from a bad one at a glance

Read the row's text, not its number. A genuine money row is labeled the way you or the app would label a figure: Booked revenue, Average booking, a market name, a deposit. A bad row reads like prose lifted out of your notes, because that is exactly what it is. If a row on your Dashboard reads like a sentence from your wins or proof notes, that is the fingerprint of this bug and it means you are on a build older than 1.8.4.

Confirming your aim

Otto keeps a working guess about what you're aiming for, and the Dashboard checks it with you: "Otto thinks your aim is X. Right?" Click That's it to confirm the aim, or Not now to set the question aside. Confirming helps the rest of the app point its suggestions at the goal you actually care about.

Digging into a relationship

  1. Click any relationship row on the Dashboard.
  2. The relationship modal opens with the essentials up top: Stage, Next move, Value, and Event, along with the organization and contact.
  3. If a proposal exists for this relationship, click Check and open. The app renders the proposal document and opens it so you can review exactly what the client would see.
  4. Scroll the History timeline at the bottom to see everything that has happened with this relationship so far.

Acting on a recommendation

The Recommended for you cards are safe to click. A click does not run anything - it prefills the chat box with that goal, worded and ready. You review it, edit it if you want, and press Send when you're happy. Until you send, nothing happens.

If the Dashboard can't read your folder

The Dashboard is only as good as the Booking HQ folder it reads from. If the folder is missing or unreadable, you'll see a Choose Booking HQ folder button - click it and point the app at the right folder.

If your workspace isn't set up yet, the Dashboard shows a friendly setup prompt instead of empty charts:

  • Show me what you can do - runs a guaranteed first win so you see real results right away.
  • Finish setting up - continues your setup through chat.
  • Show me another - swaps in a different suggestion.

If a money row still looks wrong after updating

Once you are on 1.8.4 or newer and a row still does not match anything you recognise, the next place to look is your own money notes, since those are now the only source besides your pipeline. Open brain/money.md, and revenue.md or numbers.md if you keep them, and see whether the row's exact wording appears there as a Label: $amount line.

If it does not, submit a ticket from this help center. Tell us the exact text of the row, the exact amount, your version number from the Settings tab, and what your Open pipeline figure reads. A screenshot of the Dashboard is the single most useful thing you can attach. That is what made the original report quick to pin down and fix in a couple of hours.
