A gig I closed, lost or finished still shows as due or overdue in Today

Modified on Tue, 4 Aug at 3:45 PM

You marked a gig closed - you played it and finished it, or you turned it down - and it is still sitting at the top of your Today briefing under Due now, flagged as overdue, with a badge reading something like was due Jul 16. It stays there day after day. People report it two ways. Some are careful about it: Possible glitch in the "Due now" listing. Some are blunt: the deal is closed but it's still at the top of Due now. You are reading it right. This is a real bug on our side, it is already fixed, and there is nothing wrong with your record.

What you are seeing

The classic version of this is a gig marked closed/lost but it keeps showing as due. An enquiry you declined on GigSalad weeks ago is still showing as overdue in this morning's briefing, while the same gig looks completely correct everywhere else in the app: on the Gig Desk it sits under the Lost filter where it belongs, and the calendar does not put it on the wall at all. So Today and the Gig Desk don't agree about the same gig, which is exactly the kind of thing that makes you stop trusting the whole briefing.

Your data is fine. The gig is correctly closed on the record, and Otto will not act on a closed gig. Only the Due now list was wrong about it.

Why it happens

Two things combine here. It is worth knowing both, because the first one explains why nothing you do to the record will clear it on an older build.

First: closing a gig does not wipe the follow-up or next-action date that was already set on it. The date stays on the record as part of that gig's history. So a gig you closed in late July can still be carrying a follow-up date of Jul 16 from back when it was live.

Second: the Due now sweep built its list with no deal-stage check at all. It gathered rows from follow-up dates, next actions and blockers, and never asked what stage the gig was at. Put those two together and a closed gig that still carries an old date reads as overdue forever, and it sits at the top of Due now, because overdue rows sort above every other reason a row can appear.

Underneath that sits the reason the three views disagreed with each other. The record the briefing reads only carried the coarse status bucket from the legacy - Status: line, and never read the canonical - Deal stage: field on the gig. The Gig Desk and the calendar do read the real deal stage, so they had the truth and the briefing did not.

What not to do

Almost everyone tries to fix this from the record itself. On an older build every one of those routes is a dead end, and two of them destroy real information. Skip them all.

  • Do not delete the lead. The record is correct and it is your history of that gig: who asked, what you quoted, why it went the way it did. Deleting it does not teach the sweep anything, and you lose the gig.
  • Do not clear the follow-up date by hand. It would take the row out of the list on an old build, but you are erasing a true fact about the gig to work around a display bug, and you would have to do it again for every closed gig you have.
  • Do not re-open the gig and close it again. Closing it a second time writes the same closed stage the record already had, and the old sweep was not reading that field in the first place. Nothing changes.

There is one harmless thing you can do while you wait for the update. Every row in Due now has a Hide for today button. It takes that row off today's briefing only, it is stored as a preference on this computer, and it never writes anything into your Booking HQ. The row comes back tomorrow unless the record itself moves on. That is useful for one clean morning, and it is not a fix.

Beyond that, the honest answer to "what should I do while I wait" is nothing. The lingering entry is safe to ignore.

The fix, and the version that has it

Two changes went in together. The gig's real stage is now read onto the record the briefing uses, from the canonical - Deal stage: field rather than the old status line, and the Due now sweep now skips closed gigs and their log entries entirely.

The fix landed on 1 August 2026 and ships in Booked Solid OS 1.11.32 and every release after it. The newest release at the time of writing is 1.11.41, so taking the current update gets you the fix. It arrives through the normal app update. There is no separate patch to install and nothing to re-enter.

How to update

  1. Check what you are on now. Open the Settings tab and find the Updates panel. It tells you plainly: You're running Booked Solid 1.11.41.
  2. Click Check for updates in the top bar of the app.
  3. If a newer version exists, it downloads while you keep working. When it finishes the dialog says Version 1.11.41 is ready. Restart to install it. If you are already current it says You are already on the newest version.
  4. Restart the app to install it. Your work and saves are never touched by an update.

If the in-app check finds nothing and you are still on an older version, download the newest build from booked.kivimedia.co/download and install it.

After the restart, the closed gig drops off Due now the next time the briefing re-reads that record. There is nothing to run by hand. If it is still sitting there, the last section of this article tells you what to send us.

What stays in Due now afterwards, and what drops out

The test is whether the gig still owes you work, not whether the conversation is over.

Drops out of the list:

  • Gigs at the Lost stage: declined, dead, or fell through.
  • Gigs at Show completed: the show happened and the work is done.

Stays in the list:

  • Open leads at any working stage that still owe you something, such as New inquiry, Prospecting, Qualifying, Proposal sent, In conversation and Date on hold.
  • Booked upcoming gigs. This one is deliberate and it is not an oversight. A booked gig is closed as a sale but it still owes you prep, logistics and day-of details, so it belongs in your morning briefing until the show is done and you move it to Show completed.

Why Today, the Gig Desk and the calendar now agree

All three surfaces now judge a gig by the same deal stage. The calendar already kept lost gigs off the wall so a dead date could not haunt your month, and the Gig Desk files lost gigs under its Lost filter and booked ones under Booked. The Today briefing was the last surface still reading the old coarse status, which is why it was the only one that disagreed. It reads the same field as the other two now, so a gig that looks closed on the Gig Desk looks closed in Today.

If a closed gig is still due after you update

Tell us which one, by name. That report is genuinely useful, because it means there is a stage or a record shape we have not covered yet. Email bookedsolid@kivimedia.freshdesk.com with the gig name exactly as it appears in Due now, the badge text next to it (for example was due Jul 16), the stage it shows on the Gig Desk, and the version number from Settings > Updates. We will check that gig specifically.

Still stuck? Email bookedsolid@kivimedia.freshdesk.com and a person will help.
