You open Booked Solid and the Activity board is buried under identical cards: "Dozens of these on my screen. Clicking does nothing. Can't dismiss either with the X." Every one of them reads Handle the Reply, with a line underneath saying Needs a look before it runs again, and nothing you press makes them go away. This article gets rid of them and, more importantly, stops them coming back.
Two things to know before you start. First, the X really was broken. On older builds the X does nothing on these particular cards, so if you pressed it over and over and nothing happened, you were not doing it wrong. Second, clearing the cards is only half the job. They piled up for a reason, and if you stop after clearing them the pile rebuilds within a day or two. Work through all three steps below in order.
What a "Handle the Reply" card actually is
Each card is an automatic job Otto started and could not finish. Handle the Reply is Otto drafting an answer to a lead who wrote back to you. When a run stops before the app can confirm it finished, the app does not keep firing it forever: it tries again a few times on its own, and when those attempts run out it parks the job on your Activity board and asks you to look before it runs again. That parking is deliberate. Rather than replay a run whose outcome it could not confirm, the app stops and puts it in front of you.
A parked card is also not the first thing that happened. A job that stops early retries on its own, up to 3 times, with a growing gap between each attempt. Only when those attempts are used up does it settle with the note Needs a look before it runs again. and wait for you. So one card on your board means one job that failed several times over, and dozens of cards mean the same thing failed again and again before anyone noticed.
Why nothing you pressed worked
Pressing the X is the control that clears one of these cards. On builds before version 1.10.3, the X does nothing on them at all, and clicking the body of the card does not clear it either. There was genuinely no way out: every failed run added another card, and not one of them could ever come off the board. That is how people ended up with dozens.

The failure you got from following it was our bug, not your mistake.
Step 1: get onto 1.10.3 or newer first
Do this before you start clicking anything. Otherwise you spend ten minutes pressing an X that is not capable of working yet, and conclude the problem is unfixable.
- Quit Booked Solid completely and open it again. The app checks for its own update on launch, so give it a moment to settle before you start clicking around.
- Open the Settings tab and read the Updates section. It states your version plainly: You're running Booked Solid followed by the number.
- If it still shows something older than 1.10.3 after a restart or two, download the current build from booked.kivimedia.co/download and install it over the top. Your leads, drafts and notes live in your Booking HQ folder on your own disk, not inside the app, so reinstalling does not touch your work.
Step 2: clear the cards with the X
Once you are on 1.10.3 or newer, press the X on each card on the Activity board. Here is exactly what that does, so none of it is a surprise:
- The card leaves the Activity board and the Today briefing at the same time, and it stops appearing under Needs your decision on the Tasks tab.
- That job is set aside. It will not run again on its own.
- The record is kept in your history rather than deleted, in case you want to look at it later.
The one exception: a job that is actually running at the moment you press the X finishes first. Nothing in flight is dropped halfway. So if one stubborn card refuses to clear while all the others go, that is why. Wait for that run to end and press the X again.
Step 3: fix the reason they piled up
This is the step that decides whether you are back here next week. Cards piling up on the Activity board in these numbers means Otto kept trying to draft replies to your leads and kept failing to finish. The usual cause is the email connection dropping while Otto is working in the background on its own, when you are not sitting in front of the app. Clearing the cards tidies the board. Fixing the mail path is what stops the pile rebuilding.
The steadiest cure is connecting Gmail directly with a Google app password instead of a linked account. It takes about five minutes.
- Open the Connections tab and scroll to the Mail & calendars section.
- Click Add an email account. The method already defaults to Any email (IMAP), which is the one you want. Leave it there.
- In your browser, go to myaccount.google.com/apppasswords and create an app password. Your Google account needs 2-Step Verification switched on before that page will let you. Google shows you a 16-letter code.
- Back in the app, enter your Gmail address, put imap.gmail.com in the mail server field, and paste the code into the password field. Spaces are stripped automatically, so do not waste time trying to remove them.
- Click Save. The inbox then appears in the list with its own Check it button next to it. Press that and wait for it to pass.
Saving switches on the Gmail (app password) tool for Otto automatically, and there is no restart step. That connection keeps working when Otto runs unattended, which is the entire point: the jobs finish instead of parking, so no card is created in the first place.
The dead end: relinking Gmail on claude.ai
Almost everyone tries this first, and it is a dead end. Skip it. The Gmail (linked account) method depends on the Gmail connector in your claude.ai account, and that connector is the thing that keeps dropping. Relinking it does not make drafting reliable. It is worse than useless here, because the badge in the app can read Linked while drafting still fails, so it looks like you solved it and then the cards return on the next overnight run.

If they pile up again after all that
Check these three in order, because each one rules something out:
- Settings > Updates shows 1.10.3 or newer. If it does not, the X is still broken on your machine and nothing else matters yet.
- Under Connections > Mail & calendars, your Gmail account passes Check it, and the Gmail (app password) tool under Tool access on the same tab is switched on. A saved inbox that Otto has not been handed is a silent failure.
- Run one play by hand and watch it in Activity instead of leaving it to a background shift. A job that finishes cleanly when you are watching, but parks when you are not, points straight back at the connection.
