A lead jumped to Booked when I opened the app, but I only sent a quote: how to move it back

Modified on Sun, 18 Oct at 7:34 AM

You opened Booked Solid and one of your leads was sitting in Booked, even though you had only sent the client a quote. This page explains why it moved, what changed so it does not happen again, and how to put the lead back in the right stage.

Why the lead moved

Each time the app starts, it runs a catch-up that gives a stage to any gig whose record does not have one yet, worked out from that gig's own log. Before version 1.11.104, that catch-up could misread the log in three ways:

  • Any "booked" counted as a booked gig, even "booked the Discovery Call".
  • A log line with a word like "no" or "waiting" anywhere in it was skipped whole, so your newest notes were ignored and an older line decided the stage.
  • The furthest stage it found in the log won over the lead's own Status line.

What changed in 1.11.104

Booked Solid 1.11.104, released on 14 October, fixes all three. A booked call or meeting no longer counts as a booked gig. A word like "no" only cancels the words it belongs to, not the whole line. And the catch-up never moves a lead past its Status line unless the record shows a signature or a deposit. Any version from 1.11.104 on carries the fix. To check yours, see which version you are running.

One thing the update does not do is undo a stage that was already set. The catch-up skips every gig that already has a stage, so a lead it moved to Booked earlier stays there until you move it back yourself. Once you do, the catch-up leaves that lead alone.

Move it back on the board

  1. Open the Gig Desk tab and choose Board.
  2. Drag the card out of the Booked column and drop it on the right one, for example Proposal sent if the quote went out. If you renamed your columns with Edit lists, use your own name for that stage.
  3. A note confirms the move with "Moved to" and the column name, then "Saved and verified." Dropped it in the wrong place? Click Undo last edit.

Moving a card out of Booked does not ask you to confirm anything. The move changes only the stage and adds a dated line to the gig's log saying which stage it moved from and to.

Or change it in the gig editor

  1. Click the card on the board, or switch to List, expand the gig and click Edit gig details.
  2. In the Stage dropdown, pick where the lead really is, such as Proposal sent or In conversation.
  3. Click Save changes.

See what the catch-up changed

Every gig the catch-up gave a stage to got a dated line in its log, the "## Log" section of that gig's lead.md file inside the leads folder of your Booking HQ. It reads "Stage backfilled to Booked from this record's own history." (with whichever stage it chose). Searching your leads folder for "Stage backfilled" shows every gig it touched, so you can check that no other lead landed in the wrong column.

For how the board columns work in general, see Gig Desk cards are blank, or a booked gig is stuck in "New Inquiries". For the stage line in the record itself, see What the app writes into my Booking HQ files.

If a lead lands in the wrong stage again after you update, email us with the gig's name.
